Does MBA have access to my bank account?

We do not have signature rights to your bank account. Federal Law prohibits us from having access to your bank account. All insurance checks and patient payments continue to be made payable to you and are deposited into your account. MBA cannot deduct our fees from these checks. You will be invoiced monthly, after the close of the month, for our service fees.  On the due date, MBA will initiate an ACH draft of the service fees for the previous month.

Can I still have the checks come directly to me?

Our goal is to post the payment to the patient’s account as soon as possible. Downstream payers and patient liability depend on posting EOB’s in a timely manner. Past experience in the business has proven that, if EOB’s are delivered somewhere else first, delays and missing documents are inevitable. This causes additional work on our staff and ultimately delays future claims from getting filed in a timely manner and reduces your income. MBA makes all EOB’s available via our secure web servers and can also press a range of EOB’s to a CD for archival purposes. If you must have all EOB’s come directly to you and/or you do your own banking, additional fees apply.

Do you offer an EHR system?

We know that you prefer a single source vendor for your revenue cycle management and EHR needs. Our medical billing software integrates with leading EHR systems, which gives us the unique capability to help you find the best EHR system for your practice, if you do not already have one. We can help you have peace of mind in making what can often seem to be an overwhelming decision. We currently integrate with Amazing Charts, Modernizing Medicine, digitChart (Artemis), Praxis, and Practice Partner.

Can you interface with my EHR?

In order to provide you with a comprehensive solution, we have worked hard to ensure our medical billing software integrates seamlessly with leading EHR systems. We currently integrate with Amazing Charts, Modernizing Medicine, digitChart (Artemis), Praxis, Quest Diagnostics’ Care360, McKesson Practice Partner and BestNotes. For other EHR’s not listed, we provide a variety of ways to electronically send us billing data.

Will I have a dedicated contact person?

Yes. You will have one point of contact for you and/or your staff. Your patients will use our main service line where every employee is trained on answering their questions. In the beginning, you are assigned a Client Integration Specialist who’s primary job is to make sure you have a smooth transition to utilizing our services. After several months, you will have one of our team leaders assigned to you and will become your single point of contact.

How do I know how much money has come in?

Each day, MBA picks up your mail from our local post office and will prepare the deposits for you. Each time a deposit is made to your account, you will receive an automated e-Mail notification of the exact amount deposited. Since MBA recommends utilizing direct deposit for all major insurance carriers, we also include a report detailing each check that has been reported to us as being deposited into your account. You will also receive a bi-weekly report of your Month-to-Date Revenue so you stay in constant contact with your cash flow.

What accounting controls are in place?

MBA prides itself on maintaining strict accounting processes. All checks remain payable to you, the practice, and are never made payable to MBA. MBA deposits those checks into your account. The team member responsible for your account then cross-checks the check totals to the internal postings to patient accounts. A deposit slip is prepared and all checks stamped with your account information on each check as the endorser. The deposit slip, checks and internal control documents are then left with the supervisor. The supervisor then runs a separate internal control document of all deposits for all clients for the day and performs a third cross check. After this, all checks are stored in our fire-proof safe overnight. The following business day, the deposits are taken by an MBA employee to the bank and later in the day, an email notification is generated to you informing you of the deposit. MBA takes great pride in our accounting processes, balancing to the penny each and every day allowing you to easily cross-check with your bank statements.
